3. Web Entry and Documents to be Submitted

With our Web Entry system, you can submit the application online. Read this section carefully before applying online.

As for documents needed for application, you must submit the original copies to us by airmail or in person.

Information You Need for Web Entry

Information Required for Remarks
1. Applicant’s Information / Program of Your Choice All applicants Follow the instructions on the Web Entry system.
You are requested to upload a photograph for your Reference Card in JPEG format. The photograph must be taken within the last three months and must not include hats or other head adornments.
2. Supervisor of Your Choice All applicants Follow the instructions on the Web Entry system.
Official Score Certificate/Report of TOEIC, or Examinee Score Record of TOEFL, or Test Report Form of IELTS (Academic Module) August: All applicants for Doctoral Programs in Applied Physics and Materials Science and Engineering Follow the instructions on the Web Entry system.
Applicants have to submit the Official Score Certificate/ Report of TOEIC, or the Examinee Score Record of TOEFL, or Test Report Form of IELTS (Academic Module). The TOEIC, TOEFL, or IELTS score of the exam taken after July 2015 is valid.
Copy is NOT acceptable. Others such as TOEIC Institutional Program (IP) Score Report, TOEFL Institutional Test Score Record, or Test Report Form of IELTS (General Training Module) are NOT acceptable.
February: All applicants for Doctoral Programs in Applied Physics and Materials Science and Engineering Follow the instructions on the Web Entry system.
Applicants have to submit the Official Score Certificate/ Report of TOEIC, or the Examinee Score Record of TOEFL, or Test Report Form of IELTS (Academic Module). The TOEIC, TOEFL, or IELTS score of the exam taken after January 2016 is valid.

Follow the instructions given on the last page of the Web Entry system and pay your fees.
The following payment methods are available.
Credit Card (for all applicants):
Pay your fees online. After the payment, enter the receipt number into the box on the Web Entry system.
Convenience Store (for domestic applicants only):
Pay your fees at a convenience store in Japan. After the payment, enter the name of the convenience store, the date of payment, and the number given by the store into the box on the Web Entry system.

Documents Needed for Application

Documents Who must submit Instructions
(Expected) Graduation Certificate(*1) All applicants Submit a graduation certificate (or an attested document certifying that you will graduate) issued by a university or another educational institution that meets the application requirements for the Doctoral Programs of this Graduate School.
Degree Certificate(*1) Those who graduated from a graduate school outside Japan If you graduated from a graduate school outside Japan, submit a graduation certificate for your master’s degree. All documents must be in English or in Japanese.
Academic Transcript(*1) All applicants Submit an academic transcript (the official transcript of your programs history) issued by a university or another educational institution that meets the application requirements for the Doctoral Programs of this Graduate School. If any credits were transferred from another school, submit an academic transcript from that school. (All documents must be in English or in Japanese.)
Official Score Certificate/Report of TOEIC, or Examinee Score Record of TOEFL, or Test Report Form of IELTS (Academic Module)(*2) Applied Physics and Materials Science and Engineering Applicants have to submit the Official Score Certificate/ Report of TOEIC, or the Examinee Score Record of TOEFL, or Test Report Form of IELTS (Academic Module). February: All applicants for Doctoral Programs in Applied Physics and Materials Science and Engineering Applicants have to submit the Official Score Certificate/ Report of TOEIC, or the Examinee Score Record of TOEFL, or Test Report Form of IELTS (Academic Module). Research Plan All applicants Submit a research plan you would do after entering the graduate school. Specify your name, title, and prospective supervisor. (No format specified. Use A4 – sized paper. Write in either Japanese (within 2,000 characters) or English (within 1,000 words)).
Applicants for Physics must include the reason why you chose the major in the research plan.
Research Outlines All applicants Submit the outline of your current research by the deadline for application to the administration office (Refer to “8. Previous Examinations”). Write it within 4 pages which correspond to about 4,000 characters in Japanese and to about 2,000 words in English. Attach the designated cover of “Research Outline” to it.
Put it in an envelope and write “ Research Outline for Doctoral Programs” or “ Research Outline for Three-year Doctoral Programs”, including your name, course and major of your choice to the envelop.

Copy of “Application Completed” Page of Examination Fee Payment by Credit Card Applicants who made a credit card payment

After the payment, print out the “Application Completed” page, and submit it to us by airmail or in person.
Receipt Portion (Certificate of Payment) of Examination Fee Statement Applicants who made a convenience store payment
(*Refer to “4.Examination Fee.”)
After the payment, detach the Receipt Portion (Certificate of Payment) from the Examination Fee Statement given at the convenience store and submit it to us by airmail or in person.
The Receipt Portion needs to be attached to the form that can be created online and printed out after you complete the Web Entry procedure.
Letter of approval for entrance examination
(Any format is acceptable)
If applicable The letter must be submitted by airmail or in person.

  1. Individuals who currently attend a university or graduate school (except those who are expected to graduate by March 2018, or if the entrance is in October 2018, except those who are expected to graduate from April to September 2018) need to submit a letter of approval allowing them to take the entrance examination, issued by the head of their university or graduate school (or the head of their department). (Any format is acceptable. Use A4-sized paper.)
  2. Individuals who currently work for a government agency, school, or company (except for part-time workers) need to submit a letter of approval allowing them to take the entrance examination, issued by their superior. (Any format is acceptable. Use A4-sized paper)
    〔Applicants who plan to leave their company to enroll in the graduate school may instead submit a document written by the applicants themselves (affixed with their seal or signature). In this case, the applicants must submit a certificate of resignation at the time of the enrollment procedure.〕
Certificate of Government-Sponsored (Japanese Government Monbukagakusho scholarship) Foreign Student If applicable The certificate must be submitted by airmail or in person.
If you are enrolled in another university at the time of application, submit the certificate of the government-sponsored (Japanese Government Monbukagakusho scholarship) foreign student issued by the university.

(*1) In case your current name is different from that on the documents you submit (e.g., because of marriage), submit with the proof (e.g., copy of your marriage license).

(*2) In case any questions arise about your certificate, we will verify it with the institution of TOEIC, TOEFL, or IELTS.

Reference Card All applicants The Web Entry system instructs you to supply a photograph for your Reference Card in JPEG format. The photograph must be taken within the last three months and must not include hats or other head adornments.
Print out the Reference Card with your photograph and bring a copy of the card to the venue with you on the examination day.
Address Sheet All applicants Attach the address sheet to your envelope when you submit the required documents to us by airmail or in person.

Form for Submission of the Certificate of Payment of Application Fee Applicants who made a convenience store payment Attach the Receipt Portion (Certificate of Payment) of the Examination Fee Statement to the form and submit it to us by airmail or in person.
List of Documents to be Submitted All applicants Fill in the required items and submit it to us.

Results from the entrance examination, as well as personal information obtained by the University of Tsukuba from the applicant’s documents, will be used for affairs concerning admission and screening, or may be used to improve the way of admission and university education keeping each identity confidential. Also, they will be used as part of the materials for screening students for tuition exemption or scholarships from the Japan Student Services Organization, which are offered to individuals who have completed the enrollment procedures.
