Application Process Overview Chart

Check your Eligibility!
(A) No Eligibility Screening is Required for the following individuals:
  • Individuals who have earned or are expected to earn a master’s degree by March 2020
  • Individuals who have earned or are expected to earn a professional degree by March 2020
  • Individuals who have earned or are expected to earn a master’s degree from a university outside Japan as of March 2020
  • Others

(B) Eligibility Screening is Required for the following individuals:
  • Individuals who have graduated from a junior college or high school
  • Individuals who have graduated from a vocational school or similar school
  • Individuals who have graduated from a four-year university
  • Others

Before you apply, you have to contact a prospective supervisor (a faculty member from whom you wish to receive academic instruction) and obtain his/her consent to your application in advance.
If you have any question about curriculum or research field, contact the corresponding faculty members on the list.
Assessment of Eligibility for Application
Individuals who are expected to undergo the Eligibility Screening should contact Office of Ph.D. Program in Empowerment Informatics in advance.
Email us to obtain necessary documents and email them back for the assessment by June 28, 2019. If you are deemed eligible for admission, you will be given a passcode needed on the “Educational Background” page of our Web Entry system.
(*The individuals who have ever applied for the Eligibility Screening and been deemed eligible by the screening, should also apply for the screening again.)
Applicants Who Need Special Assistance
If you need special assistance due to disability, contact us by June 28, 2019.
Web Entry
You can apply to the University of Tsukuba online by the Web Entry system. Read the guidelines carefully before applying.
Submission must be made during: July 1, 10am – July 23, 5pm (JST) 2019
Sign Up
First, you will need your own account to log in. Once you make an account, you may save the data you entered and log back in later to continue.
Activation
When you sign up, activation email will be sent to your email address registered. Click the activation URL on the email to activate your account.
Login
For the first time after the activation, you’re already logged in. Just click on “Login” button to begin. When you visit our Login page the second time or later, enter your email address and password to log in.
My Page
At the “My Page”, you need to click on the “Application Form” button for the Ph.D. Program in Empowerment Informatics.
On the page, you can edit your login information or reset password.
Application Form
There are four sections in the Application Form:

  1. Applicant’s Information
  2. Supervisor of Your Choice
  3. Eligibility
  4. Educational Background

Each section will be saved when you click on “Proceed to ***” button on each confirmation page. After saving, you can continue from where you left off when you log in back.
Upload the JPEG data of your ID photo in “1. Applicant’s Information” section and the JPEG data of your degree certificate in “4. Educational Background” section. Use one-byte alphabet and numbers to enter all the information.

Payment

You must pay the examination fee before submitting your application. The University can accept;

  1. online credit card payment for both domestic and overseas applicants
  2. convenience store payment for domestic applicants only.

(*The examination fee is exempted for the Japanese Government (Monbukagakusho: MEXT) Scholarship foreign students and who are currently enrolled in the master’s program at the University of Tsukuba and wish to be enrolled in the Ph.D. Program in Empowerment Informatics straight after completing their master’s program in March 2020.)

Credit Card Payment: Follow the instructions given at the last stage of the Web Entry system and pay your fee by credit card. After the payment, you will be notified of the receipt number. Enter the number into the “Receipt Number” box and click on “Submit” button to proceed.

Convenience Store Payment: Follow the instructions given at the last stage of the Web Entry system and pay your fee at a convenience store in Japan. When you apply for ‘Convenience Store Payment’ online, you will receive the Examination Fee Statement with an 11-digit or a 13-digit code. After the payment, enter the code and payment data on the Web Entry system and click on “Submit” button to proceed.

Submission
After the payment is confirmed, you can submit your application by clicking “Submit to Apply” button. Once you click on the button, the information you have entered will be sent to the University, and you will not be able to go back to edit. Make sure to double-check before proceeding.
After you submit your application, a confirmation email will be sent to the email address that you registered. Be sure to check it.
(*Check and adjust spam filter settings in your email account beforehand so that you can receive an email from the “entry.ap-graduate.tsukuba.ac.jp” domain.)
Create PDF
After submitting, PDF documents will be downloaded. For treatment of the documents, follow the instructions given at the last stage of the Web Entry and be sure to download the PDF documents. You can download them from the Web Entry system while the system is open during the term stated below.

Original copies of the documents given in “3. Web Entry and Supporting Documents to be Submitted” section need to be received by express mail or hand no later than July 29, 2019.
Your application will not be reviewed unless all required materials are received.
Examination Instructions
We will post the “Information for Examinees” on our website on August 2, 2019. Check the documents before the examination.
