3. Web Entry and Documents to be Submitted

With our Web Entry system, you can submit the application online. Read this section carefully before applying online.

As for documents needed for application, you must submit the original documents to us by registered mail or in person.

If the original documents are not submitted by the deadline, or if the documents are insufficient (including the case where the certificate is not the original), the application will not be accepted and you will not be able to take the exam.

Information You Need for Web Entry

You are requested to upload a photograph for your Reference Card in JPEG format. The photograph must be taken within the last three months and must not include hats or other head adornments.

Follow the instructions given on the last page of the Web Entry system and pay your fees.
The following payment methods are available. Credit Card (for all applicants):
Pay your fees online. After the payment, enter the receipt number into the box on the Web Entry system.
Convenience Store (for domestic applicants only):
Pay your fees at a convenience store in Japan. After the payment, enter the name of the convenience store, the date of payment, and the number given by the store into the box on the Web Entry system.

Documents Who must submit Instructions
(Expected) Graduation Certificate (Note 1) All applicants Submit a graduation certificate (or an attested document certifying that you will graduate) issued by a university or another educational institution that meets the application requirements for the Master’s Programs of this Graduate School. The graduation certificate (or the attested document certifying that you will graduate) must include both your enrollment date and (expected) graduation date. All documents must be in English or Japanese.

If the certificate is not available at your university, please request the university to issue it using the form below. 【(Expected) Graduation Certificate(Sample)】

Note: Even if you have already earned a master’s or a doctoral degree, you need to submit a graduation certificate issued by the university from which you have earned a bachelor’s degree.

Upload the JPEG file of (Expected) Graduation Certificate, (Expected) Degree Certificate, and Academic Transcript to the Web Entry system.

(Expected) Degree Certificate (Note 1) Those who graduated or will graduate from a university or another educational institution outside Japan If you graduated or will graduate from a university or another educational institution outside Japan, submit a graduation certificate for your (expected) bachelor’s degree. All documents must be in English or in Japanese.

If the certificate is not available at your university, please request the university to issue it using the form below. 【(Expected) Degree Certificate (Sample)】

Note: Even if you have already earned a master’s or doctoral degree, you need to submit a degree certificate issued by a university from which you have earned a bachelor’s degree.

Upload the JPEG file of (Expected) Graduation Certificate, Degree Certificate, and Academic Transcript to the Web Entry system.

Academic Transcript (Note 1) All applicants Submit an academic transcript (the official transcript of your programs history) issued by a university or another educational institution that meets the application requirements for the Master’s Programs of this Graduate School. If any credits were transferred from another school, submit an academic transcript from that school.
If you have completed or will complete a graduate school, submit an academic transcript (the official transcript of programs record) issued by the graduate school, too. All documents must be in English or in Japanese.
Upload the JPEG file of (Expected) Graduation Certificate, (Expected) Degree Certificate, and Academic Transcript to the Web Entry system.
Certificate of Research Activities If applicable Foreign applicants who meet all of the following requirements must submit certificate of research activities:

  • Individuals who have graduated from a university of a foreign country that implements less than 16 years of a school curriculum
  • Individuals who have been researching for about one year or more at a university or a research institute in Japan or abroad after graduation of university.
  • Individuals who became 22 years old or older, or who will be 22 years old.

Foreign applicants who are researching in our university as a researcher can use designated certificate of enrollment instead of certificate of research activities. The certificate is available from automatic issuing machine.

Applicants have to submit the Examinee Score Report or Test Taker Score Report issued on and after August 1st, 2019 of TOEFL, the Official Score Certificate/ Report of TOEIC (only Listening & Reading Test is available), or Test Report Form of IELTS (Academic Module).
The TOEIC, TOEFL, or IELTS score of the exam taken after January 2018 is valid.
A copy of the original and a PDF copy downloaded from the Internet are NOT acceptable. Others such as TOEIC Institutional Program (IP) Score Report, TOEFL Institutional Test Score Record, or Test Report Form of IELTS (General Training Module) are NOT acceptable.
Research Plan All applicants who wish to apply for the Special Selection of Working Individuals(Except Master’s Program in Physics, Materials Innovation)

Submit a research plan you would do after entering master’s course.
*Print out the designated form which is created after you complete the Web Entry procedure.
Summary of Research and Future Research Plans All applicants for Master’s Program in Materials Innovation Submit “Summary of Research and Future Research Plans” by the deadline for application to the administration office (Refer to “8. Contact”). Write it in English by using the designated form.
Put it in an envelope and write “Summary of Research and Future Research Plans”, including your name, course and Program of your choice to the envelop.

Copy of “Application Completed” Page of Examination Fee Payment by Credit Card Applicants who made a credit card payment

After the payment, print out the “Application Completed” page, and submit it to us by registered mail or in person.
Receipt Portion (Certificate of Payment) of Examination Fee Statement Applicants who made a convenience store payment
(*Refer to “4.Examination Fee.”)
After the payment, detach the Receipt Portion (Certificate of Payment) from the Examination Fee Statement given at the convenience store and submit it to us by registered mail or in person.
The Receipt Portion needs to be attached to the form that can be created online and printed out after you complete the Web Entry procedure.
Letter of Approval for Entrance Exam (Any format is acceptable) If applicable The letter must be submitted by registered mail or in person.

  1. Individuals who currently attend a university or graduate school (except those who are applying for April entry and expected to graduate by March 2020, and who are applying for October entry and expected to graduate by September 2020) need to submit a letter of approval allowing them to take the entrance examination, issued by the head of their university or graduate school (or the head of their department). Any format is acceptable. Use A4-sized paper.
  2. Individuals who currently work for a government agency, school, or company (except for part-time workers) need to submit a letter of approval allowing them to take the entrance examination, issued by their superior. Any format is acceptable. Use A4-sized paper.
    〔Applicants who plan to leave their company to enroll in master’s course may instead submit a document written by the applicants themselves (affixed with their seal or signature). In this case, the applicants must submit a certificate of resignation at the time of the enrollment procedure.〕
Certificate of Government-Sponsored (Japanese Government Monbukagakusho scholarship) Foreign Student If applicable The certificate must be submitted by registered mail or in person.
If you are enrolled in another university at the time of application, submit the certificate of the government-sponsored (Japanese Government Monbukagakusho scholarship) foreign student issued by the university.
    (Note)

  1. In case your current name is different from that on the documents you submit (e.g., because of marriage), submit with the proof (e.g., copy of your marriage license).
  2. In case any questions arise about your certificate, we will verify it with the institution of TOEIC, TOEFL, or IELTS.

Reference Card All applicants Print out the Reference Card with your photograph and bring a copy of the card to the venue with you on the examination day.

Results from the entrance examination, as well as personal information obtained by the University of Tsukuba from the applicants’ documents, will be used for affairs concerning admission and screening, or may be used to improve the way of admission and university education keeping each identity confidential. Also, they will be used as part of the materials for screening students for tuition exemption or scholarships from the Japan Student Services Organization, which are offered to individuals who have completed the enrollment procedures.
