3. Web Entry and Documents to be Submitted

You must submit the application online via our Web Entry system. Read this section carefully before applying.
Please print the PDF files that are generated after completing your application. Please paste original copies of the documents listed below on to the printed form and submit by registered mail.

Required information for Web Entry

1. Applicant’s Information / Program of Your Choice All applicants You are required to upload the JPEG file (500KB or smaller) of your photo for the Reference Card. The photo must be taken within three months with no hats, masks or other head adornments.
2. Supervisor of Your Choice All applicants Applicant of Special Selection Process for Recommended Applicants, Special Selection Process for Working Individuals and Special Selection Process of Global Individuals in English needs to contact and obtain the informal consent from your prospective academic advisor.
English Score Applicants of General Selection Process and Special Selection Process of Global Individuals in English (Excluding exempt applicants) Enter one of the following tests taken within 2 years from the time of application as the score of English examination.

  • TOEIC Listening & Reading: Official Score Certificate
  • TOEFL iBT, TOEFL iBT Home Edition, TOEFL iBT Paper Edition: Official Score Report or Test Taker Score Report (print out of the downloaded pdf file is NOT accepted)
  • Test Report Form of IELTS Academic

If you have yet to receive your score at the time of application, or would like to submit your best score by the examination, fill in “Taken on (Year/Month): 2022 12; Your score: 0” on the Web Entry system.
If you have been exempted, you should select “Exemption”. Exemption requirements are written in Section 6. Screening Criteria.

3. Eligibility All applicants
Research Plan All applicants Summarize your research plans after enrollment (topic, content, etc.) in Japanese in 1000 characters or less, in English in 500 words or less.

For applicants of Special Selection Process for Recommended Applicants, Special Selection Process for Working Individuals and Special Selection Process of Global Individuals in English, please discuss the research plan (topic, content, etc.) after enrollment with your prospective academic advisor who give you his/her consent to be your academic advisor.

You may use the designated form downloadable from the Web Entry system only if it is essential for you to use mathematical formulae, Greek letters, or special symbols, which cannot be entered into the system. Fill it out and send it together with the other required documents by mail. The format of the form must not be changed. Any texts may not be written outside the box.

4. Educational Background All applicants If you have graduated from a foreign university, please upload your degree certificate in JPEG format (3MB or smaller, and 2000×2000 pixels or smaller).

Examination Fee All applicants (Excluding Japanese Government (Monbukagakusho:MEXT) Scholarship student Examination Fee is 30,000 JPY.
Follow the instructions given on the last page of the Web Entry system and pay your fee.
The following payment methods are available.
By Credit Card (recommended):
Pay your fee online. After the payment, enter the receipt number into the box on the Web Entry system.
At Convenience Store (only for domestic applicants):
Pay your fee at a convenience store in Japan. After the payment, enter the information below into the box on the Web Entry system:

・Date of payment
・Name of the convenience store

Please note that PDF files cannot be printed after the Web Entry System Application Period.
The original copies of the following documents need to be submitted to us by registered mail. All documents must be in English or in Japanese.

(Expected) Graduation Certificate All applicants Submit a graduation certificate (or an attested document certifying that you will graduate) issued by a university or another educational institution.

Even if you have already earned a master’s or a doctoral degree, you need to submit a graduation certificate issued by the university from which you have earned a bachelor’s degree.

(Expected) Degree Certificate Applicants who are eligible to apply from the National Institution for Academic Degrees and Quality Enhancement of Higher Education Submit all certificates related to the degree, such as degree award certificates (certificate of acceptance of degree award application or certificate of expected degree award application) and transcripts.
Applicants who have graduated from a university or another educational institution outside Japan Submit a degree certificate for your bachelor’s degree.
Even if you have already earned a master’s or a doctoral degree, you need to submit a degree certificate issued by the university from which you have earned a bachelor’s degree.
Academic Transcript All applicants Submit an academic transcript (the official transcript) issued by a university or another educational institution.
Even if you have already earned a master’s or a doctoral degree, you need to submit an academic transcript issued by the university from which you have earned a bachelor’s degree.

If any credits were transferred from another school, submit an original academic transcript from the former school.

Letter of Recommendation Applicants of Special Selection Process for Recommended Applicants and Special Selection Process of Global Individuals in English (Special Selection Process for Recommended Applicants)
A Letter of Recommendation written by the head of the applicant’s organization with tightly sealed is required.

(Special Selection Process of Global Individuals in English)
A Letter of Recommendation from your academic advisor is required. There is no designated format for the recommendation. Please use A4/letter size. It must be signed.

Submit one of the following tests taken within 2 years from the time of application pasted on the designated form as the score of English by the date of examination.

  • TOEIC Listening & Reading Test: Official Score Certificate
  • TOEFL iBT, TOEFL iBT Home Edition, TOEFL iBT Paper Edition: Test taker Score Report (print out of the downloaded pdf file is NOT accepted)
  • Test Report Form of IELTS Academic

If you plan to submit the Official Score Report of TOEFL iBT, TOEFL iBT Home Edition, TOEFL iBT Paper Edition, please carry out the procedure for the official score reports to be sent directly from ETS to the Master’s Program in Informatics (DI code : 9995, Departmet code : 99). The Official score report of TOEFL iBT must be received by the university by the examination date.

If you cannot mail the original score with other documents, send the PDF file which is a scan of your score report to the following address: tosyoss-daigakuin@un.tsukuba.ac.jp by the previous day of the examination.

An original score report pasted on the designated form must be sent by traceable mail and be received by the examination date.

If you fail to submit your score by or on the examination date, you will be disqualified.

Research Plan Only applicants whose “Research Plan” includes mathematical formulae, Greek letters, or special symbols that cannot be entered in the Web Entry system Fill out your research plan on the designated format in one page and submit it.
The fixed format must not be changed. Any texts may not be written outside the box.
Receipt Portion (Certificate of Payment) of Examination Fee Statement Applicants who made a convenience store payment Detach the Receipt Portion (Certificate of Payment) from the Examination Fee Statement given at the convenience store and paste it onto the “Form for Submission of the Certificate of Payment of Application Fee”.
Copy of “Application Completed” Page of Examination Fee Payment by Credit Card Applicants who made a credit card payment Include a copy of the “Application Completed” page.
Letter of Approval for Entrance Examination Applicable applicants
  1. (1) Applicants who currently attend a university or graduate school as a full-time student (except those who are expected to graduate by March, 2023, for Special Selection Process of Global Individuals in English applicants, September, 2023) need a letter of approval allowing them to take the entrance examination, issued by the head of their university or graduate school (or the head of their department).
    You can use any format for this document.
    If you cannot prepare an approval letter, a letter of declaration prepared by yourself stating that you are willing to leave your former institution is acceptable as an alternative. Your seal is necessary.
  2. (2) Applicants who currently work full-time need a letter of approval allowing them to take the entrance examination, issued by your supervisor. You can use any format for this document.
    For applicants who will quit at the time of entry to graduate school or who cannot prepare a letter of your supervisor, a letter of your declaration stating that studying in graduate school will cause no harm to your work is acceptable as an alternative. Your seal is necessary.
Certificate of Japanese Government (Monbukagakusho:MEXT) Scholarship student Japanese Government (Monbukagakusho:MEXT) Scholarship student who are enrolled in another university in Japan Submit a “Certificate of Japanese Government (Monbukagakusho:MEXT) Scholarship student” issued by the university that you are currently enrolled in.
Address Sheet All applicants Attach the address sheet to your envelope when you submit the required documents to us by registered mail.
Official document from your university that English is the language of instruction Applicants who meet the exemption (B) for English examination Applicants who have received or will receive a degree from a university where English is the language of instruction must submit an official document from your university that certifies that English is the language of instruction.

*In case your current name is different from that on the documents you submit (e.g., because of marriage), submit with the proof (e.g., copy of your marriage license).

Prepare for the Examination

Reference Card All applicants Please print it out and bring it with you at the oral examination.

Results from the entrance examination, as well as personal information obtained by the University of Tsukuba from the application documents, will be used not only for affairs concerning admission and screening, but also for research and study aimed at the improvement of the admission procedure and university education. We will carefully take care of the data not to disclose your personal identity. Also, we will use the data to screen students for scholarships from the Japan Student Services Organization, which are offered to individuals who have completed the enrollment procedures.
