3. Web Entry and Documents to be Submitted

With our Web Entry system, you can submit the application online. Read this section carefully before applying online.

As for documents needed for application, you must submit the original documents to us by registered mail.

If the original documents are not submitted by the deadline, or if the documents are insufficient (including the case where the certificate is not the original), the application will not be accepted and you will not be able to take the exam.

Information You Need for Web Entry

You are requested to upload a photograph for your Reference Card in JPEG format. The photograph must be taken within the last three months and must not include hats or other head adornments.

Follow the instructions given on the last page of the Web Entry system and pay your fees.
The following payment methods are available.
Credit Card (for all applicants):
Pay your fees online. After the payment, enter the receipt number into the box on the Web Entry system.
Convenience Store (for domestic applicants only):
Pay your fees at a convenience store in Japan. After the payment, enter the name of the convenience store, the date of payment, and the number given by the store into the box on the Web Entry system.

If the original documents are not submitted by the deadline, or if the documents are insufficient (including the case where the certificate is not the original), the application will not be accepted and you will not be able to take the exam.

Note: Considering the influence of coronavirus outbreak, submission deadline for some of the original application documents is postponed until the first day of the examinations. (If you bring the originals on that day, however, be sure to submit copies by the above deadline.)

!! Submission deadline for the originals of the (expected) graduation certificate, (expected) degree certificate is not be postponed. You must submit these original certificates by the above deadline.
Regarding the application documents for Materials Innovation program, Academic Transcript, Summary of Research and Future Research Plans is not be postponed in addition to the above documents. You must submit these original documents by the above deadline.!!

Documents Who must submit Instructions
(Expected) Graduation Certificate(*1) All applicants Submit a graduation certificate (or an attested document certifying that you will graduate) issued by a university or another educational institution that meets the application requirements for the Doctoral Programs of this Graduate School. The graduation certificate (or the attested document certifying that you will graduate) must include both your enrollment date and (expected) graduation date. All documents must be in English or in Japanese.

If the certificate is not available at your university, please request the university to issue it using the form below.

(Expected) Degree Certificate(*1) Those who graduated or will graduate from a graduate school outside Japan If you graduated or will graduate from a graduate school outside Japan, submit a graduation certificate for your (expected) master’s degree. All documents must be in English or in Japanese.

If the certificate is not available at your university, please request the university to issue it using the form below.

Academic Transcript(*1) All applicants Submit an academic transcript (the official transcript of your programs history) issued by a university or another educational institution that meets the application requirements for the Doctoral Programs of this Graduate School. If any credits were transferred from another school, submit an academic transcript from that school. All documents must be in English or in Japanese.

September: All applicants for Doctoral Program in Materials Innovation Applicants have to choose one from the following and submit an original score by mail or in person by the designated date.

  • The Official Score Certificate/ Report of TOEIC (only Listening & Reading Test is available)
  • The Examinee Score Report or Test Taker Score Report issued on and after August 1st, 2019 of TOEFL
  • Test Report Form of IELTS (Academic Module)
  • Test Taker Score Report of TOEFL iBT Special Home Edition

Note: Please be sure that you ask ETS to send your Official Score Report directly to us when you take TOEFL iBT Special Home Edition or TOEFL iBT.

If you fail to submit the original document, you will be regarded as absent from the foreign language examination and excluded from the further selection process regardless of the reason.
If you cannot have an original score ready by the due date, please submit a printed page showing your score on the Internet by registered mail or in person by the July 30 (Thu.), 2020.
In that case, submit the original score by registered mail or in person by the designated date.

The TOEIC, TOEFL, or IELTS score of the exam taken after June 2018 is valid.
A copy of the original and a PDF copy downloaded from the Internet are NOT acceptable. Others such as TOEIC Institutional Program (IP) Score Report, TOEFL Institutional Test Score Record, or Test Report Form of IELTS (General Training Module) are NOT acceptable.

Only an applicant who fulfills both Condition A and Condition B below is eligible to apply for the special measure targeted at an applicant who cannot submit an original score report of an external English test.
A: living in a country where TOEFL iBT Special Home Edition does not take place (e.g. People’s Republic of China, Islamic Republic of Iran etc.)
B: unable to take approved English tests including TOEIC, TOEFL iBT、IELTS due to a reason not attributable to him/her (e.g. None of them take place or all of them have been cancelled in their country.)

If your reason for application turns out to be false, your examination results will be invalidated.

Research Plan All applicants for Doctoral Programs in Mathematics, Physics, Chemistry, Engineering Sciences Subprogram in Applied Physics, Engineering Sciences Subprogram in Material Sciences, Engineering Sciences Subprogram in Materials Science and Engineering Submit a research plan you would do after entering the graduate school. Specify your name, title, and prospective supervisor. (No format specified. Use A4 – sized paper. Write in either Japanese (within 2,000 characters) or English (within 1,000 words).
Applicants for Physics must include the reason why you choose the program in the research plan.
Research Outlines All applicants for Doctoral Programs in Mathematics, Physics, Chemistry, Engineering Sciences Subprogram in Applied Physics, Engineering Sciences Subprogram in Material Sciences, Engineering Sciences Subprogram in Materials Science and Engineering Submit the outline of your current research by the deadline for application to the administration office (Refer to “8. Contact・Previous Examinations”). Write it within 4 pages which correspond to about 4,000 characters in Japanese and to about 2,000 words in English. Attach the designated cover of “Research Outline” to it.
Put it in an envelope and write “ Research Outline for Doctoral Programs”, including your name, course and program of your choice to the envelop.

Summary of Research and Future Research Plans All applicants for Doctoral Program in Materials Innovation Submit “Summary of Research and Future Research Plans” by the deadline for application to the administration office (Refer to “8. Contact・Previous Examinations”). Write it in English by using the designated form.
Put it in an envelope and write “Summary of Research and Future Research Plans”, including your name, course and Program of your choice to the envelop.

Letter of approval for entrance examination

  1. Individuals who currently attend a university or graduate school (except those who are expected to graduate by March 2021, or if the entrance is in October 2021, except those who are expected to graduate between April and September 2021) need to submit a letter of approval allowing them to take the entrance examination, issued by the head of their university or graduate school (or the head of their department). (Any format is acceptable. Use A4-sized paper.)
  2. Individuals who currently work for a government agency, school, or company (except for part-time workers) need to submit a letter of approval allowing them to take the entrance examination, issued by their superior. (Any format is acceptable. Use A4-sized paper)
  3. 〔Applicants who plan to leave their company to enroll in the graduate school may instead submit a document written by the applicants themselves (affixed with their seal or signature). In this case, the applicants must submit a certificate of resignation at the time of the enrollment procedure.〕

Certificate of Government-Sponsored (Japanese Government Monbukagakusho scholarship) Foreign Student If applicable If you are enrolled in another university at the time of application, submit the certificate of the government-sponsored (Japanese Government Monbukagakusho scholarship) foreign student issued by the university.

(*1) In case your current name is different from that on the documents you submit (e.g., because of marriage), submit with the proof (e.g., copy of your marriage license).

(*2) In case any questions arise about your certificate, we will verify it with the institution of TOEIC, TOEFL, or IELTS.

Results from the entrance examination, as well as personal information obtained by the University of Tsukuba from the applicant’s documents, will be used for affairs concerning admission and screening, or may be used to improve the way of admission and university education keeping each identity confidential. Also, they will be used as part of the materials for screening students for tuition exemption or scholarships from the Japan Student Services Organization, which are offered to individuals who have completed the enrollment procedures.
