Notes on the Use of Generative AI in Entrance Examinations

When preparing application documents, please refer to the “Admissions Policy (Graduate School Standards)” of each degree program in the Degree Programs in Systems and Information Engineering.
To avoid any suspicion of misconduct or potential mismatch in academic expectations after enrollment, you must carefully prepare and submit all documents on your own responsibility.

  • 3-1. Eligibility for Application

    [Eligibility Screening is NOT required]

    • Individuals who have obtained a master’s degree or a professional degree in Japan or who are expected to obtain it by the month prior to enrollment. (Eligibility requirement (1))
    • Individuals who have been granted a degree equivalent to a master’s degree or a professional degree in a foreign country or who are expected to grant the degree by the month prior to enrollment. (Eligibility requirement (2))

    • Individuals who have graduated from a university and have been engaged in research at a university, research institute, etc. for two years or more, and who are recognized as having academic ability equivalent or superior to a master’s degree or a professional degree based on the results of their research. (Eligibility requirement (6-1); eligibility screening required)
    • Individuals who have completed 16 years of school education in a foreign country or 16 years of correspondence courses provided by a foreign school in Japan, and who have been engaged in research at a university or research institute for 2 years or more, and who are recognized as having academic ability equivalent or superior to a master’s or professional degree based on the results of said research. (Eligibility requirement (6-2); eligibility screening required)
    • Individuals who have reached 24 years of age or will reach 24 years of age by the month prior to enrollment, after being admitted to the university’s graduate school with academic ability equivalent or superior to a master’s degree or a professional degree through an individual admission eligibility screening conducted by the graduate school of the university. (Eligibility requirement (7); eligibility screening required)

    Application Requirements for the Special Selection Process for Working Individuals

    Individuals who are eligible to apply (excluding those who have not yet graduated from a university or not yet earned a bachelor’s degree at the time of application) and have at least one year of work experience (from any industry including both full-time and part-time jobs) by the month prior to enrollment may apply for this selection process. Jobs held while enrolled as a full-time student DOES NOT qualify as work experience.

  • 3-2. Details of Eligibility Screening

    How to Apply for Eligibility Screening

    The eligibility screening is conducted by the University of Tsukuba to confirm that the applicant has academic ability equivalent or superior to of those who earned a master’s degree or professional degree prior to application. Please check the details of Eligibility for Application at the official website of University of Tsukuba. Even if you have passed the eligibility screening in the past, you will need to undergo the screening again when you wish to apply for another selection process.

    If you pass the screening, you will receive a passcode to be entered into the Web Entry System.
    Please note that applicants must submit their original graduation certificate and academic transcript at the time of application even if they submit the PDF or JPEG files at the time of the screening for eligibility (See “Notes” of “7. Documents to Be Submitted, Reference Card etc.”).

  • 4. Supervisor Assignment

    Obtaining Consent from Faculty Members before Applying

    All the applicants must obtain prior consent from their supervisor.
    Before applying, you must contact a faculty member and obtain consent to become your prospective supervisor (the person who gives you academic instructions after enrollment). You may select up to a second choice of supervisor at the time of application, but the second choice is not mandatory. If applicants have the second choice, they should contact that faculty member and obtain consent as well.
    Upon successful admission, unless otherwise notified, you will be assigned to the laboratory of your first-choice academic supervisor.

    If you have any questions about research field, contact your desired program (See “13. Previous Examinations and Inquiry about curriculum”).
    Applicants for the Special Selection Process for Working Individuals should inform their prospective supervisor that they wish to apply for the Special Selection Process for Working Individuals when obtaining consent.

    Main Supervisor and Sub-supervisor

    In order to provide a better learning environment, the Degree Programs in Systems and Information Engineering have a multiple supervisor system in which each student is assigned a main supervisor and one or more sub-supervisors.
    In principle, applicants are to choose only their main supervisor at the time of application. However, if you wish to conduct research related to research topics of a faculty member whose role is indicated in the Faculty Directory only as “Sub-supervisor,” please choose both the main supervisor and sub-supervisor (You need to obtain consent from both of them).
    In that case, applicants for the Doctoral Program in Computer Science and the Doctoral Program in Engineering Mechanics and Energy must choose their main supervisor and sub-supervisor from the same “Research Field” on the Faculty Directory.

    Security Export Control

    The University of Tsukuba has established the University of Tsukuba Rules on Security Export Control in accordance with the Foreign Exchange and Foreign Trade Act (FEFTA), and conducts strict examinations for acceptance of international students etc. International applicants who fall under any of the conditions set out in said regulations may be unable to enter their desired program.

    1) Reference Number
    International students will be notified of a “reference number” for Security Export Control by the faculty member who agreed to become their prospective supervisor. The reference number must be entered in the Web Entry System at the time of application. Since it will take some time to obtain a reference number, please contact your desired faculty member as soon as possible.
    Applicants for the Doctoral Program in Policy and Planning Sciences are not required to obtain a reference number or to enter it in the Web Entry System.

    2) Procedures for “Deemed Export” for Security Export Control
    In order to strengthen the prevention of leakage of sensitive technology related to security, “deemed export control” was clarified and related laws and regulations were revised (effective May 1, 2022).
    As a result, our university has decided to require all applicants to our graduate school to confirm the applicability of Specific Categories.

  • 5. Examination Fee

    Examination Fee

    Exemptions of Examination Fee

    • The examination fees will not be charged for Japanese Government (Monbukagakusho: MEXT) Scholarship students.
    • Those who completed the University of Tsukuba Master’s Program and will continue on to the University Doctoral Program within one year of the completion date.

    The University of Tsukuba have the special measures of examination fee exemption for the victims of disasters in Japan. For details, please refer to the official website of University of Tsukuba.

    Payment Methods

    The examination fee can be paid by either of the following methods. In either case, administration fees are to be borne by the applicant.

    (1) Credit Card Payment (for all applicants)

    We accept Visa, MasterCard, JCB or AMERICAN EXPRESS.
    Credit card payment can be made at the final step of the Web Entry System or by visiting the website linked above. After the payment, you will be provided with the receipt number. Enter the receipt number in the input field displayed on the Web Entry System.
    Print out the payment complete screen (see below) and submit it along with other application document.

    (2) Convenience Store Payment (for applicants residing in Japan only)

    Payment can be made at convenience stores in Japan: LAWSON, SEVEN-ELEVEN, FamilyMart, or MINISTOP.
    Follow the instructions given at the final steps of the Web Entry System or at the website linked above (available in Japanese only) to apply for the convenience store payment.

    After going to the selected store and completing payment, please enter the required information into the Web Entry System: name of the convenience store that you used, the date of payment, and the payment number (The number of digit and the Japanese name of the payment number differ according to the store you used. See the description below).

    • SEVEN-ELEVEN: “払込票番号” 13 digits
    • LAWSON, FamilyMart, MINISTOP: “お客様番号” 11 digits

    Download the “Form for Submission of the Certificate of Payment of Application Fee” from the Web Entry System and print it out. Paste the receipt (certificate of payment) you received from the convenience store on the form. Submit the completed form along with other application documents.

  • 6. Details of Web Entry

    6-1. Web Entry Flow

    Submit your application data through Web Entry System during the designated period (See “1. Schedule”).

        *We have confirmed instances emails to the “@au.com” and “@ezweb.ne.jp” domains are not being delivered. Please register a different email address or check your “Recipient List Settings” and “Spam Filter Settings” in advance.
        Also, please avoid using SMS and MMS as attachments may not be delivered.

        Please prepare your photo data. (only JPEG file, the file size must be 500 KB or less and less than 2,000 pixels in both width and height.)
        Please do not change the image of the person by editing or processing the image to make the eyes look larger, whitening the skin, or modifying facial features, moles, wrinkles, etc. Such modifications may prevent us from verifying the applicant’s identity using the photo on the reference card on the examination day.

    • Sign Up / Activation

      Create your own account on the Web Entry System. When you sign up, activation email will be sent to your registered email address. Click the activation URL on the email to activate your account.

    • My Page

      Click the “Application Form” button on “My Page” to start web entry. You can edit your login information or reset password on “My Page.”

    • Application Form

      Please enter the required information (See “6-2. Details of Information You Need for Web Entry”).

    • Payment

      Complete payment of the examination fee before submitting your application. The examination fee can be paid by either credit card or convenience store. For details, please check 5. Examination Fees.
      *The examination fee already paid is non-refundable.

    • Submission

      Once you click on the “Submit to Apply” button, the information you have entered will be sent to the university, and you will not be able to go back to edit. Please check carefully before proceeding. After submission, please make sure to check the confirmation email that will be sent to your registered email address.

    • Create PDF and Print Reference Card etc.

      After submitting the application data, you will be able to download the documents such as “Reference Card” and “Address Sheet” until the end of the application period. These files must be brought to the venue or mailed to the university. You must print your Reference card and bring it on the day of the examination. Please note that the files no longer be available for download after the end of the application period.

    Notes:
    • The Web Entry System does not allow you to apply to more than one programs from a single account. Also, it is not possible to register multiple accounts with one e-mail address. Therefore, for example, if applicants for the Dual Degree Program wish to apply to both the doctoral Program and the master’s Program at the same time, they must prepare two e-mail addresses, create accounts using each, and apply to each program from separate accounts.
    • The payment screen will not be displayed for students who do not have to pay the examination fee, i.e., the Japanese Government Scholarship students and students applying for a secondary program (master’s program) under the Dual Degree Program.
    • After the application period ends, you cannot change degree program and enrollment date.

    Handling of Personal Information

    Applicants’ personal information obtained from the application documents and the results of the entrance examination will be used for the affairs concerning admission and screening. The university may also process the information so that it is not personally identifiable and use it for research and study aimed at improvement of the admission procedure and the university education. If a successful applicant who has completed the admission procedures has applied for a JASSO scholarship, the information will be used as screening material in the scholarship selection process.

    6-2. Details of Information You Need for Web Entry

    Please prepare the data in the table below for web entry in advance.

    The photo must be clear, taken within the last three months, showing the front of the applicant’s head, neck and shoulder with no hats or other head adornments.
    The recommended photo aspect ratio is 4:3.
    Certificate of Japanese Government (Monbukagakusho: MEXT) Scholarship Japanese Government Scholarship students who fall under either of the following:
    (1) Individuals currently enrolled in a university other than the University of Tsukuba and are receiving the scholarship
    (2) Individuals who plan to receive the scholarship
    Submit the corresponding document in JPEG format.
    (1) Scanned copy of a “Certificate of Government-Sponsored” issued by your university (Any format is acceptable)
    (2) Scanned copy of an official document proving that the scholarship will be awarded, such as a “Passing Certificate of the First Screening” issued by an overseas diplomatic establishment
    Name of your prospective supervisor All applicants You must contact a faculty member and obtain consent to become your prospective supervisor before applying (See “4. Supervisor Assignment”).
    Eligibility type All applicants Confirm in advance what your qualifications are. Depending on the type, prior screening may be required (See “3-1. Eligibility for Application” and “3-2. Details of Eligibility Screening”).
    Research Plan All applicants Summarize your research plans after enrollment in approximately 1000 words in English. Charts and figures cannot be included. If references are also provided, the number of words in the references need not be included in the word limit.
    Applicants for the Doctoral Program in Policy and Planning Sciences should consult with their prospective supervisor about the content of the research plan. Applicants for the Doctoral Program in Empowerment Informatics should also refer to the note below this table.
    Research Outlines All applicants (except applicants for the Doctoral Program in Empowerment Informatics) Summarize research outlines of your master’s thesis or its equivalent in approximately 2000 words in English. Charts and figures cannot be included.
    If references are also provided, the number of words in the references need not be included in the word limit.
    Other Papers and Publications Applicants who have published papers and books (except applicants for the Doctoral Program in Empowerment Informatics) Enter bibliographic information (author names, title of the paper, journal name, volume, issue, starting and ending page numbers, publication year) of your major published papers and books in approximately 300 words in English.
    Career Plan Applicants for the Doctoral Program in Empowerment Informatics Summarize plans for your career after completing graduate school in approximately 500 words in English. Charts and figures cannot be included. See also the note below this table.

    Note:
    The research plans of applicants for the Doctoral Program in Empowerment Informatics will mainly be assessed according to the following four criteria that examine to what extent you have;
    1) expertise and presentation skills appropriate for Empowerment Informatics
    2) fundamental skills for interdisciplinary research
    3) the ability to investigate issues from multiple perspectives
    4) the potentiality to play active roles in an international society
    The career plans will mainly be assessed according to the following three criteria that examine to what extent you have;
    1) the qualities needed to take an initiative as a global leader
    2) the potentiality to develop and pass on technology that matches the needs of the future society
    3) the abilities to tackle and resolve complicated social issues

  • 7. Documents to Be Submitted, Reference Card etc.

    Paper certificates and other documents required for application (See below table) should be mailed (using registered mail) or brought in person. All required documents must be put in an envelope which fits unfolded A4 size paper with an Address Sheet attached. You can download your Address Sheet in PDF from the Web Entry System.

    We will begin reviewing the documents as soon as they arrive.
    We will contact you at the email address registered in web application only if there are any deficiencies. Please respond promptly so that any issues can be resolved without delay.
    Please note that we do not send a receipt confirmation if there are no deficiencies.

    The documents must arrive to our office by the deadline (See “1. Schedule”). If your documents fail to arrive by the deadline or any of the required documents is incomplete, invalid or missing, you will not be allowed to take the exam. Documents brought in after 5:00 p.m. JST on the last day of the submission period will not be accepted. The deadlines are strictly observed.
    In case of delays caused by the carrier, submit an official notice from the carrier indicating the situation.

    Note:
    • Your [Expected] Graduation Certificate, [Expected] Degree Certificate and Academic Transcript must be original documents with the official university seal unless otherwise specified.
    • In case of submitting photocopies of certificates because they cannot be reissued, etc., only those certificates that are certified by the issuer of the certificate that the photocopies do not differ from the original will be accepted. (To verify authenticity, the official seal of the issuer must be stamped directly on the photocopy (paper media) to be submitted.)
    • If your university does not issue paper certificates, digital certificates will be accepted on the condition that the following 1) and 2).
      In case of using an independent authentication system that does not fall under any of the categories below, please consult us individually, in principle, by the application start date.

      1) URL of an online verification service that can verify the authenticity of the digital certificates
      *However, those that cannot be accessed from outside (e.g., those that require the use of the VPN of your university or cannot be accessed without an account at your university) are not acceptable.
      2) URL of the official web page indicating that your university is using such online verification service

    • All documents must be written in Japanese or English. Otherwise, attach a Japanese or English translation. The translation must be verified officially. You may translate it by yourself with issuer’s verification on it.

    In principle, all documents submitted will not be returned to you. For certificates that cannot be reissued, please submit a copy certified by the issuer or an official institution.
    If you are unable to obtain a verified photocopy that meets our requirement, please submit the original document with a return request.

    Regardless of the above, the External English Test Score Sheet will NOT be returned. Also, we will not provide you with a photocopy after submission. Please make your own copy and keep them before submission if necessary.

    ※For those who have graduated from a university in China, please follow the instructions below.
    – Applicants submitting a graduation (or expected graduation) certificate and a degree (or expected degree) certificate issued by a Chinese university must also submit the English version of the Academic Verification Report issued by CHSI (China Higher-education Information and Student Information). Submission of the CHSI certificate alone is also acceptable.
    – For those who completed the Self-taught Higher Education Examination (Benke) and obtained a degree, the official transcripts and degree certificate must be submitted in the original, issued by the institution administering the Self-taught Examination. Please note that applications based on expected completion of the Self-taught Examination are not accepted.

The document must be in English or Japanese.

    Even if you have a higher (i.e. doctoral) degree, you must submit a graduation certificate of master’s program.
    [Expected] Degree Certificate (1) Individuals who have graduated or expected to graduate from a university in a country other than Japan
    (2) Individuals who qualify for application at the National Institution for Academic Degrees and Quality Enhancement of Higher Education (NIAD-QE) in Japan
    Submit the corresponding document as described below.
    (1) Submit a degree certificate, i.e., an official document certifying that you are expected to earn a degree issued by a university or other institution that awarded or will award you a master’s degree, professional degree or their equivalent. The document must be in English or Japanese.
    If this certificate is not available at your university, please ask them to issue one using the form below.
    (Expected) Graduation Certificate (Sample)
    Even if you have a higher (i.e. doctoral) degree, you must submit a master’s degree certificate.
    (2) Submit a “Certificate of degree conferment (certificate of acceptance of application for degree conferment),” academic transcripts and all other certificates related to degree conferment.
    Academic Transcript All applicants Submit an academic transcript issued by a university or institution that awarded or will award you a master’s degree, professional degree or their equivalent. The document must be in Japanese or English.
    If grades are listed with symbols (S, A, B, C, D, etc.), the grading criteria (S: 100 to 91 scores, A: 90 to 81 scores, etc.) must be clearly stated on the transcript. If it is not clearly stated, a document that clearly states the grading criteria should also be submitted.
    [For Applicants to Doctoral Program in Empowerment Informatics]
    If you have any accredited courses, you must also submit the transcript(s) that serve as supporting documents for the accreditation, showing the grades and other relevant details.
    (Example: Applicants who were admitted through transfer must submit transcripts issued by both the institution they are currently enrolled in and the institution they attended prior to the transfer.)
    Academic Transcript or Summary Letter of Undergraduate Education Applicants for the Five-year Doctoral Program in Empowerment Informatics (Third Year Enrollment) Submit a photocopy of academic transcript issued by a university or other type of educational institution that awarded you a bachelor’s degree or its equivalent. If you wish to request an exemption for submitting the copy of academic transcript, submit a letter that briefly summarizes your own educational activities during the undergraduate study.
    If you have any accredited courses, you must submit the supporting documents as stated above.

    Letter of Approval for Entrance Exam and Admission (1) Individuals who currently attend a university or graduate school and are NOT expected to graduate by the month before admission to the University of Tsukuba

    Submit the corresponding document as described below.
    (1) Submit a letter of approval for Entrance Exam and Admission issued by the president, dean, or department head at your university. If you plan to withdraw from your current university/graduate school, we also accept a letter written by you stating that you will withdraw from the university/graduate school before admission to the University of Tsukuba. Any format is acceptable, but the size must be A4.
    (2) Submit a letter of approval for Entrance Exam and Admission issued by your superior or a letter written by you stating that admission to the university will not interfere with your current job. If you plan to resign from your current job, we also accept a letter written by you stating that you will resign your current job before admission to the University of Tsukuba. Any format is acceptable, but the size must be A4.
    Certificate of Japanese Government (Monbukagakusho: MEXT) Scholarship Those currently enrolled at other university who plan to continue receiving a scholarship as a MEXT student after entering the University of Tsukuba. Submit a “Certificate of Government-Sponsored” issued by your university. Any format is acceptable.
    Dual Degree Program Acceptance Letter Individuals who are accepted to take the Dual Degree Program Submit a photocopy of the Dual Degree Program Acceptance Letter (See “15. Dual Degree Program”).

    How to submit the TOEIC exam taken outside Japan
    *2: If a score sheet that meets the requirements is not submitted at the time of application, regardless of the reason, you will be considered to have missed the examination subject of “English” (or “Application Document Screening” in the examinations of the Doctoral Program in Empowerment Informatics) and will be excluded from the further selection.
    *3: If you are unsure whether the certificate you have are acceptable, please be sure to contact us before the application period begins. If you inquire right before the application deadline, you may not have enough time to prepare the required documents and may become unable to submit your application.

    Request Letter for Exemption from TOEIC, TOEFL, or IELTS Academic Score Requirements

    Applicants for the Doctoral Program in Intelligent and Mechanical Interaction Systems and the Doctoral Program in Empowerment Informatics can apply for an exemption from submitting the designated score sheets if they meet certain conditions.
    If you wish to apply for this exemption, you must submit a letter indicating your linguistic background. Any format is acceptable. If you meet the exemption condition 3), please also submit the original certificate that serves as supporting evidence.

    Exemption conditions:

    Applicants must fall under any of the following:
    1) Those whose first or native language is English
    2) Those from a country where English is an official language
    3) Those who completed their undergraduate course fully conducted in English

  • 15. Dual Degree Program

    The Dual Degree Program is designed to develop individuals with deep expertise, broad academic knowledge and a high degree of adaptability. The program provides doctoral students seeking to acquire the abilities and knowledge necessary to become researchers and highly specialized professionals with an opportunity to acquire knowledge in a related field that differ from their major field of study.
    The term “Dual Degree” as used here means that while enrolled in a doctoral program at the University of Tsukuba, students can also enroll in a master’s or professional degree program at the university (except the Law School Program at the Graduate School of Business Sciences, Humanities and Social Sciences), and obtain both a doctoral degree and a master’s degree.

    It is not easy to obtain two degrees within a limited period of time. If you wish to apply for the Dual Degree Program, please consult with your prospective supervisor in the doctoral program, and receive a full explanation before applying. Once you have decided to apply, please obtain a Dual Degree Program Application Form at the Academic Service Office of Systems and Information Engineering (Graduate Support). The application must be signed by both the prospective supervisors in the primary and secondary program, and submitted to the Academic Service Office where you received the form by the same date as the application deadline for eligibility screening stated in the application guidelines (See “1. Schedule”).

    If you pass the review and are accepted to take the Dual Degree Program, you will receive a Dual Degree Program Acceptance Letter. Please check if the programs of your choice are marked with an asterisk (* mark) in the table above and respond as follows:

    Programs with * mark:
    A passcode will be issued along with the acceptance letter. The passcode must be entered in the Web Entry System at the time of application for the master’s program. By entering the passcode, you will not be required to pay the examination fee for the master’s program.

    Programs without * mark:
    Submit a photocopy of the Dual Degree Program Acceptance Letter along with other application documents at the time of application for the master’s/professional degree program. By entering the document, you will not be required to pay the examination fee for the master’s program.

    In either case, a photocopy of the Dual Degree Program Acceptance Letter should be submitted along with other application documents at the time of application for the doctoral program (See “7. Documents to Be Submitted, Reference Card etc.).

    In order to take the Dual Degree Program, you must pass the designated entrance examination and complete the admission procedures. In accordance with the purpose of the program, if you apply to both the doctoral program and the master’s/professional degree program at the same time, your failure to pass the entrance examination for the doctoral program will also result in failure for the master’s/professional degree program.
    If you are accepted in the master’s/professional degree program, the admission and the tuition fee for the master’s/professional degree program while this program is in effect will not be collected.

    The Doctoral Program in Risk and Resilience Engineering offers the day and evening class program which allows working professionals to take classes at Tokyo Campus not only during the day but also in the evening while continuing to work.     System for Extending the Period of Registration

    The system for extending the period of registration allows students to complete their academic program in an organized and planned manner over a period that exceeds the standard period of study (three years), for a fixed extended duration of up to five years. It is intended for students who face difficulties completing their studies within the standard period due to circumstances such as employment, childcare or family care responsibilities, or a disability. If you wish to apply, please indicate so in the Web Entry System at the time of application, and follow the designated procedures after you have been accepted.
