Implementing Future Entrance Examinations, Etc.,
in Response to the COVID-19 Infections

There is a possibility that there will be changes in the method of the entrance examinations for the University of Tsukuba Graduate School for academic year 2021, depending on the situation regarding the spread of the infections of the COVID-19, such as changes to online entrance examinations, etc., after these application guidelines have been published. Also, there is a possibility that entrance examination days will be added, in connection with the changes in the examination method. The latest information on the entrance examinations is published on the Information page of the Graduate Admissions site, so it can be checked at any time.
In particular, when applying and before taking the examination, be sure to check the latest information in the Information page of the Graduate Admissions site.

Information Environment, Etc., Necessary if there is a Change to Online Entrance Examinations

At present the schedule, etc., envisaged for entrance examinations in the university (Tsukuba area) has been announced. However if there has to be a change to online entrance examinations at short notice, it will be announced on this site when the decision has been taken (as a guide, by August 7 in the case of September entrance examinations, and 1 month before the examination date for entrance examinations in October or later). Also if the examinations are to be held online, the following is advance notification of the preparations that must be made by those taking the examinations.

  1. Have a bright quiet private room environment
  2. Have a network environment capable of sending and receiving video
  3. Have a personal computer with a camera and microphone
    (using a speaker for voice output. The use of earphones or headphones, etc., that are fitted to the body are prohibited)
  4. Have a smartphone (with a camera) * Item 4 on the left is for emergency use in case of occurrence of network problems

Application Form

There are four sections in the Application Form:

  1. Applicants’ Information
  2. Field of Interest and Mentors
  3. Eligibility
  4. Educational Background

Each section will be saved when you click on “Proceed to ***” button on each confirmation page. After saving, you can continue from where you left off when you log back in.

On “1. Applicant’s Information,” upload your ID photo in JPEG format.
On “3. Eligibility” write a proposal with about 1,000 English words for interdisciplinary research with another field of study under this Program. Oral Examination 2 will be based on this proposal. Also please state two fields and two mentors you are interested in. You should choose a field and a mentor of 1) Life and Medical Sciences / 2) Science, Engineering and Informatics, respectively. You are required to make preliminary contacts with them. Research fields available in the program are shown on the “Listing of Faculty Mentors” on the program website.
In “4. Educational Background,” applicants who have graduated from a university outside Japan are required to upload their degree certificate in JPEG format, which is one of the documents to be submitted. (Since each country has different education systems, we need to confirm their eligibility for application.)

Payment

You must pay the examination fee before submitting your application. The University accepts:

  1. Online credit card payments for both domestic and overseas applicants
  2. Convenience store payments for domestic applicants only

Credit Card Payment: Follow the instructions given at the last stage of the Web Entry system and pay your fees by credit card. After the payment, you will be notified of a receipt number. Enter the number into the “Receipt Number” box and click the “Submit” button to proceed.
Convenience Store Payment: Follow the instructions given at the last stage of the Web Entry system and pay your fees at a convenience store in Japan. When you apply for “Convenience Store Payment” online, after the payment, enter the code and payment date into the boxes on the Web Entry system and click the “Submit” button to proceed.

*The applicants who have received MEXT scholarship is exempted from paying the fees.

The applicants who hold MEXT scholarship should contact us before you enter to the web entry system.

Submission

You can submit your application by clicking “Submit to Apply” button. Once you click on the button, the information you have entered will be sent to the University, and you will not be able to go back to edit. Make sure to double-check before proceeding.

After you submit your application, a confirmation e-mail will be sent to the registered e-mail address. Be sure to check it.

You are requested to upload the JPEG data of your ID photo for the Reference Card. The ID photo must be taken within three months with no hats or other head adornments.

The recommendation letter must be written on A4/letter-size paper with the department-letter-head printed and with the signature of the recommender. The letter must be sent by the recommender directly to SIGMA office by postal mail.

Important Notice: An applicant who do not have TOEFL/TOEIC/IELTS score must include an evaluation of the applicant’s English proficiency.

(Special Selection of Working Individuals) A recommendation letter (from School) by the department dean or the supervisor, from which the applicant graduated, should be directly sent to the admission office.

A recommendation letter (from Company) should be written by your boss or supervisor.
The letter should include:
1) Period of your research record in your current company
2) Research achievement
3) Evaluation of your research

  2. Some of the documents have to be posted to the Office of Ph.D. Program in Humanics by express mail by the deadline. When you submit your application online, the system will ask you to create the Address Sheet. Print out the sheet created and attach it to the envelope when sending the required documents to us. If your documents are not received by the due date or the documents are not completed, you will not be able to take the exam.

    To prevent the spread of new coronavirus infections, documents should be sent by postal mail.
    Please refrain from bringing the documents directly in the office. We appreciate your cooperation.

  2. The deadline of Enrollment Procedure
    The documents should be mailed using a designated envelope (which will be sent to you along with the Enrollment Procedure Guidelines) by the deadline.

  3. You will be offered the Financial Support from SIGMA, which would assist you to dedicate yourself to your study. To apply for the Financial Support, you need to complete the Research Plan form that will be sent via email by the SIGMA in advance.

    1. (1)Admission Fees: 282,000 yen ※In case that the amount of Admission Fees would be revised at the time of your enrollment, the revised amount has to be paid.
    2. (2)Tuition Fees: 535,800 yen

      We provide tuition fee exemption for students. Please see the latest information here.

  4. All applicants with a full-time job (except part-time) need a document or a letter (ex; an order for a training course, a letter of leave of absence or an approval letter) from the employer to prove that you are available to complete the program.
  5. International applicants must acquire a Status of Residence suitable for entrance to a graduate school, in accordance with the Immigration Control and Refugee Recognition Act (Cabinet Order No. 319 of 1951), before beginning enrollment procedures. Those who wish to enter this program as an international student must acquire Status of Residence as a “Student.”
    The documents to apply a Status of Residence suitable for entrance will be sent later by SIGMA.
